Davidson College Records Management Program

The history of the position of Athletic Director at Davidson College begins with the Athletic Association, a student organization founded in 1893. The Athletic Association hired coaches who used the title Athletic Director. In 1914, the College agreed to take responsibility for the position of Athletic Director and allowed the Alumni Athletic Association to support assistant coaches. The first athletic director hired by the College was Robert Fetzer, who was replaced in 1915 by his brother William Fetzer. In 1932, athletics were subsumed under a new department of Student Health Services and Physical Education. In 1936, the Norman Shepard was hired as the Director of Physical Education and Athletics. The title changed in 1981 to Director of Athletics. The office is responsible for managing the activities of all athletic teams, the physical education program, and the Baker Sports Complex.

ADMINISTRATIVE FILES. Records concerning the administration and activities of the office. Files may include correspondence, reports, game contracts, memorandum, professional association materials, and reference materials.

SEARCH COMMITTEE FILES. Records concerning the activities of specially-formed search committees charged with recruiting new or replacement faculty. File may include correspondence, resumes, applications, evaluations, and other related records. Files contain restricted information.


Athletics - Business Office
Davidson College Records Management Program

The Business Office is the central office for Athletic department financial and personnel activities. It is responsible for departmental purchasing, internal personnel records, and overseeing ticket sales for athletic events.

EQUIPMENT INVENTORIES. Records of equipment owned by the athletic department.

PERSONNEL. Records for athletic department staff. Files may include copies of time sheets, salary reviews, evaluations, and other records.


Athletics - Compliance Office
Davidson College Records Management Program

The Compliance office is responsible for handling matters pertaining the National Collegiate Athletic Association (NCAA) and other athletic conferences Davidson College participates in such as the Southern Conference. The office maintains records verifying the eligibility of athletes and the college's compliance with NCAA regulations.

COMPLIANCE RECORDS. Records concerning eligibility and compliance for each academic year. Files include squad rosters, drug test consent forms, game reports, phone logs, recruitment files, financial aid reports, and sports sponsorship reports.

SQUAD LISTS. Records identifying student-athletes eligible to participate in games.


Athletics - Game Management Office
Davidson College Records Management Program

Game Management is responsible for ticket and stadium/arena operations for all revenue producing sports and special athletic events at Davidson College. In 1994, the revenue producing sports are men's football, men's basketball and men's soccer. Special events include hosting the NCAA national soccer finals and the Game of the Week soccer series. Game management solicits ticket sales, runs the ticket sales operations, and is required to account for all ticket activities: sales, complimentary tickets, etc.

GAME REPORTS. Records for each athletic event for which tickets are sold. Files contain ticket order forms, complimentary ticket lists, will call ticket lists, signed player will call lists, ticket reports and accounting data.

SALES REPORTS. Records of all sales activities related to an athletic event: tickets, parking, concessions, etc. Report is prepared through Quattro Pro software and a printout accompanies monies sent to Controllers Office. A copy of the printout is maintained in the Games Management Office.

SPECIAL EVENTS NOTEBOOKS. Records relating to planning and management of special athletic events with ticket sales. Files contain correspondence, contracts, publicity, reports, and other documents.

TICKET ORDERS. Notebooks of annual ticket order forms and ticket sales.

UNUSED TICKETS. All unsold or unused tickets for athletic events and ticket stubs for player will call used tickets. Files are subject to audit and are boxed and sealed after each game report is completed.


Athletics - Physical Education
Davidson College Records Management Program

Until 1908, Davidson College offered no regular physical education or training for students. In 1901, an Athletic Instructor was hired to supervise the athletic teams and the Board of Trustees created an additional position of professor of physical training in 1907 to conduct exercises and give lectures on hygiene. Dr. J. W. MacConnell, the college physician, was appointed as the first professor. In 1932 the department was renamed as the Department of Student Health Services and Physical Education and in 1968, Physical Education became a separate department. Currently, the college maintains a physical education requirement for graduation; however, the program carries no academic credit. A total of four courses are required: PED101 (required of all students, including transfers, during their first semester at Davidson); one lifetime credit (PED2**); one water credit (PED3**); and one team credit (PED4**). A swim test is administered during orientation to determine swimming ability and to offer guidance in course selection. Students who do not pass the swim test must register for an appropriate swimming class. Students can receive credit for a team sport by participating on a varsity or junior varsity athletic team or by participating in 75 percent of games in a club or intramural sport. The Physical Education department is responsible for scheduling and conducting physical education classes and overseeing the intramural sports program.

COURSE FILES. Copies of syllabi, course outlines, and examinations for courses offered by the department.


Athletics - Sports Information
Davidson College Records Management Program

The Sports Information Office is responsible for issuing news releases about all sports teams for local, regional, and national publications; editing and publishing media guides, game programs, and promotional materials for sports activities; providing information for conference and NCAA reports; contributing to Davidson College publications; and responding to information requests about Davidson College athletic teams, coaches, and players.

ADMINISTRATIVE FILES. Records concerning the administration of the office. Files may include reports, correspondence, budget materials, memorandum, and other related materials.

PHOTOGRAPHS, VIDEOTAPES, AND FILMS. Audiovisual materials relating to college sports. Files include team photographs, publicity stills, tapes of games, highlights of games, etc. Some materials are originals, others are edited productions.

PERSONNEL AND ATHLETES. Records on coaching staff and selected athletes at Davidson College. Files contain biographical and publicity information.

PRESS RELEASES. News releases concerning college athletics.

PUBLICATIONS. Media guides, programs, game schedules, posters, and other publications produced by the office.

SPORT FILES. Records for each sport compiled annually. Files may contain score reports, publicity materials, photographs, team information, and other related records.
