What is RefWorks?

RefWorks is a Web-based bibliographic management tool. You can use RefWorks to create a database of citations for a research project or a series of research projects, and you can organize those citations in a variety of ways. You can also use RefWorks to generate bibliographies, and because the database you create is keyword searchable, you can even add your own notes about specific works for easy retrieval later. Unlike other bibliographic software packages, such as EndNote, RefWorks is Web-based, so you can access it from anywhere.

Access to RefWorks is limited to Davidson College faculty, students, and staff only.


How do I access RefWorks?


To use RefWorks, you'll first need to create an account; please note that this initial registration needs to be done from a computer on the Davidson network.
  1. Go to RefWorks. (There are also links to RefWorks on all of the Library's subject Indexes & Databases pages.)
  2. Click on "Sign up for an individual account."
  3. Complete the "New User Information" and select your own login and password.
    Note: We recommend that you do not use your Davidson network username and password.>
  4. Click on "Register." You will receive an e-mail confirmation with information about your login and password.
Once you've created your account, you can access RefWorks from anywhere on campus or off-campus (with the Library's proxy server). The Library has links to RefWorks on all our Indexes & Databases pages (just look in the upper right-hand corner of the screen, under "Tools").

How do I use RefWorks?

For help getting started, we recommend the following:

You can add citations to RefWorks in several different ways:
  • Use the "direct export" function in selected databases.
  • Save citations as a text file and then import them into RefWorks.
  • Convert references from other bibliographic management applications (e.g. EndNote, ProCite, or Reference Manager). See the guide Converting from other Bibliographic Management Software for details.
  • Enter references manually.
  • Use RefWorks as a search interface to search the Library Catalogue or other databases.

What style sheets and citation formats does RefWorks support?

RefWorks supports over 247 citation formats, including APA, Chicago, MLA, and Turabian. A complete list of supported styles is available online.


What is Write-N-Cite?

Write-n-Cite is small, downloaded program that lets you run an abbreviated version of RefWorks from within Microsoft Word. Write-N-Cite displays brief information about the works listed in your RefWorks database and allows you to cite those works with one click of your mouse.

To download the Write-N-Cite utility to your own PC or Mac, log into RefWorks, and from the "Tools" menu, select "Write-N-Cite."

Note: If you are using a Mac, you may wish to install a newer version of Write-N-Cite; it works better with Tiger. The Write-N-Cite program is already installed on all Library PCs.

For help using Write-N-Cite, consult the following:

To use Write-N-Cite from off campus, you'll need to modify your Write-N-Cite settings so that Write-N-Cite can work with the Library's proxy server.
Note: The Library uses the proxy server rather than the RefWorks group code for off-campus access.
  • Windows users:
    1. From the "Start Menu," choose "Programs" and then "RefWorks."
    2. Select "WNC Proxy Configuration Utility."
    3. For "Proxy server URL," enter the following: https://ezproxy.lib.davidson.edu/login?url=https://www.refworks.com/Refworks/?WNC=true
    4. Click "OK."
    5. Thereafter, when you open Write-N-Cite, and you will be prompted to (1) log in to the proxy server with your Davidson network username and password and (2) log in to Write-N-Cite with your RefWorks username and password.
  • Macintosh users:
    1. Open Write-N-Cite.
    2. From the Write-N-Cite menu, select "Preferences."
    3. Choose the "Proxy" option.
    4. For "Proxy server ULR," enter the following: https://ezproxy.lib.davidson.edu/login?url=https://www.refworks.com/Refworks/?WNC=true
    5. Click "OK."
    6. Close Write-N-Cite. For the changes to take effect, you will need to close and restart Write-N-Cite.
    7. Thereafter, when you open Write-N-Cite, and you will be prompted to (1) log in to the proxy server with your Davidson network username and password and (2) log in to Write-N-Cite with your RefWorks username and password.


How do I create an annotated bibliography using RefWorks?

If you need to create an annotated bibliography, you can use one of the output styles created by the Library, or you modify an existing RefWorks output style.

The Library has created the following output styles:
  • APA, 5th edition: Annotated Bibliography using User 1 for annotations
  • Chicago 15th edition (Notes & Bibliography): Annotated Bibliography using User 1 for annotations
  • MLA 6th edition: Annotated Bibliography using User 1 for annotations
  • Turabian 6th edition, Notes: Annotated Bibliography using User 1 for annotations
To use one of these styles, simply enter your annotations in the field "User 1." When you are ready to generate your annotated bibliography, simply select the appropriate output style, and your annotations will appear as part of your bibliography.

Note: you can also modify any of these output styles if you wish.

To modify an existing output style:

  1. Click on the "Bibliography" button on the RefWorks toolbar.
  2. Select the output style that you want to modify, then click on the "Edit" button to the right of the output style. The Output Style Editor will open up in a new window.
  3. Choose a name for your new output style and enter it in the "Name" box.
  4. Click on the "Save As" button, which is located just above the "Name" entry box. Your new output style name will then appear in the "Style" box at the top of the screen.
  5. You will need to modify the settings for all of the reference types that you will be using. The default reference type is "generic," but we highly recommend that you modify all of the reference types that have the word "[defined]" after their names.
    For each reference type,
    • Select a type from the "Reference Type" drop-down menu.
    • From the "Fields for this type" drop-down menu, select the field name that you will be using for your annotations. We recommend that you use on of the five user-defined fields (User 1, User, 2, &c.).
    • In the "Output Field Order" box, highlight the user-defined field that you just added. As soon as you select the field, "Field Settings" and "Field Comments" will appear to the right of the "Output Field Order" box.
    • Modify the field settings for your annotations. If you want your annotations to begin on a new line, enter "\n" in the "Precede with" box. For help with settings, click on the "i" icon next to "Field Settings."
    • To preview your settings, click on the "Update" button at the bottom of the screen.
    • After you've made your changes, click on the "Save" button at the top of the screen.
    • Go back and modify the settings for all of the other reference types that you will be using.
  6. When you are done creating your output style, close the Output Style Editor window. From within RefWorks, click on the "Bibliography" button again to refresh your output style list.

  1. Tag (i.e. mark) the records you want
  2. Click on the "Export Options" button; this button appears at the top and bottom of the screen as well as between each record.
  3. Choose "RefWorks" as the output type.
  4. Click on the blue "Export Records" button in the upper right-hand corner of the screen.
  5. On the next screen, click on the Export to RefWorks button to access RefWorks and view the citations.

AnthroSource

AnthroSource
  1. Mark ("select") the records you want.
  2. Click on "Send to Citation Manager." This link appears near the top of search results pages and also in individual records for articles.
    Note: If you want to export more than one citation, mark the relevant records on each search results page and send them to the citation manager before viewing another page. You may lose your marks if you navigate to another page of search results.
  3. For "format," choose "Reference Manager."
  4. Click on the "Download article citation data" button.
  5. You will be prompted to save the file. Save the file as an .ris document.
  6. Go into RefWorks, and from the "References" menu, choose "Import."
  7. For the "Import Filter/Data Source," select "RIS Format."
  8. For the "Database," select "Multiple Databases" or "Reference Manager."
  9. Choose "Import Data from the Following Text File" and browse for your saved .ris file.
  10. Click on the "Import" button.

  1. To mark a record, click on the "Add" icon. On the individual record page, this icon appears near the top of the page; on the search results page, the icon appears to the right of the citation.
  2. To view your marked records, click on the "Folder has items" icon that appears in the upper right-hand corner of the screen.
  3. Select "Save to Disk."
  4. On the next page, click the blue "Bibliographic Manager" tab.
  5. Select "Direct Export to RefWorks."
  6. Click on "Save."

  1. Mark the records you want to export.
  2. Click on the "Save Checked Items to Bibliography" button that appears at the top and bottom of the page.
  3. Click on the "View Bibliography" button.
  4. Scroll down to the bottom of the next page. Under "Delivery Options," choose "Export to RefWorks."

  1. Mark the records you want to import.
  2. Click "Export/e-mail results" in the gold band at the top of the screen or scroll down to the bottom of the screen to get to the "Export/Email search result" area.
  3. For step 1, choose "Selected records" from the drop-down menu.
  4. For step 2, choose "BibTeX."
  5. For step 3, choose "Abstract (title/author/affiliation/abstract)."
  6. For step 4, choose "Disk."
  7. Click on the "Export Results" button.
  8. When the window opens, from the File menu, choose "Save as." Navigate to the area where you want to save the temporary folder (e.g. the Desktop), give the file a name, and be sure that you save it in text format (i.e. file type "text documents (*.txt)").
  9. Go into RefWorks, and from the "References" menu, choose "Import.""
  10. For the "Import Filter/Data Source," choose "BibTeX" and for "Database," select "<Multiple Databases>."
  11. Choose "Import Data from the Following Text File" and browse for your saved text file.
  12. Click on the "Import" button.

JSTOR

  1. To mark records, click on the "Save Citation" link, which appears on search results pages, citation pages, and pages with first matches.
  2. Click on "View Saved Citations."
  3. Under "Export Options," choose "Directly export citations into RefWorks."

Library Catalogue

  1. In the Library Catalogue, mark the records you want to bring into RefWorks.
  2. Click on the "Print, E-mail, or Export your Marked Records" link, which appears at the top and bottom of the search results pages.
  3. Choose "Display for Export to RefWorks."
  4. Copy the text beneath the import instructions.
  5. Go into RefWorks, and from the "References" menu, choose "Import."
  6. For the "Import Filter/Data Source," choose "RefWorks Tagged Format."
  7. Choose "Import Data from the Following Text" and paste the text you copied.
  8. Click on the "Import" button.

MathSciNet

MathSciNet
  1. For each record that you want to export, click on the "Add to Clipboard" icon that appears beneath the citation.
  2. When you are ready to export records, click on the "View Clipboard" link; this link appears in the upper left-hand corner of each page.
  3. Select the format "Citations (BibTeX)" and then click on the "Text" button.
  4. Save the results as a text file (i.e.from your browser's File menu, choose "Save as" and save the file in the .txt format).
  5. Go into RefWorks, and from the "References" menu, choose "Import."
  6. For the "Import Filter/Data Source," select "BibTeX" and then choose "MathSciNet" as the database.
  7. Choose "Import Data from the Following Text File" and browse for your saved text file.
  8. Click on the "Import" button.

  1. Mark the records you want.
  2. Click on the "Marked Records" tab at the top of the screen.
  3. Click on "Detailed View" if you want to export the full record (with subject headings) for each item; the default is the brief citation.
  4. Click on the "Export" icon.
  5. For "Export to," choose "Refworks."

  1. Mark the records you want.
  2. At the bottom of the screen, in the "Results Manager," select the fields you want and then, under "Result Format," choose "Direct Export."
  3. Under "Actions," click on the "Save" icon.
  4. On the next screen, choose "Export to RefWorks" and click on the "Continue" button.

Periodicals Index Online

  1. Mark the records you want.
  2. Click on the "Marked List" link at the top of the search results screen.
  3. Select the citations on your marked list by clicking on "Select all citations" near the top of the page. If you wish, you can also select each citation individually.
  4. Under "Selected Citation Options" on the right-hand side of the screen, choose "Download selected citations."
  5. Choose the "Export Directly to RefWorks" option.

Project Muse

  1. Mark the records you want. Be sure to click on the "Save Marked Results" button before you move on to view a new page of search results.
  2. After saving all of your marked results, click on the "E-mail/Export Saved Results" tab at the top of the search results screen.
  3. Under "Export marked results to," choose "RefWorks" and click on the "Export" button.

  1. Mark the records you want to export.
  2. Click on the "Marked Records" icon.
  3. Choose "Export Citations into EndNote, ProCite, RefWorks, or Reference Manager.

  1. Mark the records you want to export.
  2. From the "Display" drop-down menu (toward the top of the screen), choose "MEDLINE."
  3. From the "Send to" drop-down menu, select" Text." A new window will open with your marked reference displaying in text format.
  4. Save the results as a text file (i.e.from your browser's File menu, choose "Save as" and save the file in the .txt format).
  5. Go into RefWorks, and from the "References" menu, choose "Import."
  6. For the "Import Filter/Data Source," select "NLM PubMed"; "NLM PubMed" should also be the database selected.
  7. Choose "Import Data from the Following Text File" and browse for your saved text file.
  8. Click on the "Import" button.

  1. Mark ("check") the records you want to export.
  2. Click on the "Export to bibliographic software" link which appears towards the top of the search results page (as well as at the bottom of the page).
  3. Choose "Refworks" and click on the "OK" button.

SciFinder Scholar

SciFinder Scholar (CAS)
  1. Mark the records you want to import.
  2. Click on the "Save As" button at the top of the screen.
  3. Navigate to the directory where you want to save the file temporarily (e.g. the Desktop).
  4. Enter a name for the temporary file and choose "tagged format.txt" as the file type. Click the "Save" button.
  5. Go into RefWorks and from the "References" menu, choose "Import."
  6. Choose "CAS SciFinder" as the Import Filter/Data Source and "CAPLUS" as the database.
  7. Choose "Import Data from the Following Text File" and browse for your saved text file.
  8. Click on the "Import" button.

  1. Select the record(s) you want.
  2. Click on either the "Print E-mail Save" button or the "Exporting/Citing" button on the left-hand side of the screen.
  3. On the page that appears, choose the last option, "Export to RefWorks, EndNote Software."
  4. Make sure that "RefWorks Direct Export Tool" is selected for the download.
  5. Click on the "Export" button.


Important note for seniors and other leaving Davidson

Are you graduating or leaving employment at Davidson? Be sure to save your RefWorks records before you go. Only currently-enrolled Davidson students and currently-employed Davidson faculty and staff have accesss to the Library's RefWorks subscription, so when you leave Davidson, your RefWorks account will be deleted.

To save a copy of the records in your RefWorks database:
  1. Log into RefWorks.
  2. From the "References" drop-down menu, select "Export."
  3. For "Include," choose "All References" to copy all of your records or select "My List" or "References from..." to copy a selection of the records in your database.
  4. For "Export Format," choose an appropriate format. The most frequently-used formats are:
    • Bibliographic Software (EndNote, Reference Manager, ProCite)
      Saves records in RIS format, a tagged format supported by many bibliographic management applications. If you plan on using a bibliographic management tool in the future but don't know which one, choose this format.
    • RefWorks Tagged Format
      Similar to the "Bibliographic Software" format above, but specific to RefWorks. Use this format if you know that you will be using RefWorks in graduate school.
    • Tab Delimited
      Saves records with each field separated by a tab so that you can load the data into many programs, including MicroSoft Access and Excel.
