Travel Assistance Fund Requests

Thanks to the generosity of the Board of Trustees, funding is available to support Commencement-related travel for members of the Class of 2020. Members of the class of 2020 are eligible to receive financial assistance toward travel costs, relative to your proximity to campus, with the hopes that most, if not all, of the Class of 2020 will return for this long-overdue celebration. This will not be a direct reimbursement of expenses; it is a set amount based on your travel location as of May 2022. If you are able to return to Davidson without receiving additional funding from the college, please do. This will allow students with greater need to return. At this time, please do not book any airline tickets, as we plan to use a travel agent to assist with those arrangements.

On-campus residence hall lodging will be available at no cost Friday and Saturday nights. Due to room availability, these rooms are held for members of the Class of 2020 only. Information on local hotel blocks for family and friends can be found on the commencement webpage.

Please note the funding transactions are taxable and, in the unlikely event that you receive any other taxable payments from Davidson College in the calendar year 2022, a 1099 form may be required. International alums will need to update a Foreign National Form with visa info and all arrival/departure dates. Additional information will be provided upon completion of the formal request.

We realize some of you may not know your plans yet. However, we are asking EVERYONE in the Class of 2020 to complete the initial registration. This step will help us to plan and ensure we can fully expend the travel assistance fund for those who need it. Please complete the registration form by Feb. 15, 2022 indicating your plans to the best of your ability.

Timeline for requesting travel funding for members of the Class of 2020 only:

  • December: Complete initial registration form to indicate if travel assistance will be needed to return to campus for Commencement Celebration. Request must be submitted no later than February 15.
  • February/March: Davidson staff will contact via email those who indicated affirmatively to begin making travel arrangements. This process will differ based on mode of travel (flying vs driving to campus). 

Travel Request Logistics

Airline Travel

For airline travel, Davidson will email you a form for you to complete for the travel agent.  The agent will need your given legal name exactly as it appears on the government-issued ID that you will use for identification at the time of travel (ie: drivers license or passport), birthdate, city airport traveling from, dates of travel and approximate times for travel, email, mobile number and frequent flyer number. Airline tickets are nonrefundable. Once the ticket is issued, please review immediately for accuracy as changes can be made for 24 hours once the ticket has been issued. Ticketing for air travel needs to be completed by May 1.

International Alumni

International alumni will need to update a Foreign National Form with Davidson providing visa information and all arrival/departure dates. Please make sure to include all of your immigration activity on the form, including all dates entering and exiting the U.S. You may print your I-94 immigration activity from the I94 website, and attach it instead of entering dates on the form. Please make sure to list the visa type used for each entry into the U.S. 

Travel by Car

For travel by car, Davidson will email you a form for you to provide direct deposit information at your banking institution.
