All permanent records of staff employees and all benefit and salary change records of faculty employees are maintained in the Human Resources Office. These files and their contents are considered the property of Davidson College.
An employee who wishes to view the contents of the file may view any portion of that file with the exception of pre-employment letters of reference submitted in confidence to Davidson College. Members of the faculty should refer to the Faculty Handbook for policies regarding files and accessibility of information. An employee objecting to specific information may add a personal statement to the file or request removal of the material in question. If such material is not removed, the employee may appeal through the grievance procedure.
Human Resources staff will provide access to performance reviews and salary information when needed for review by the supervisor or department head.
Employees wishing to view their file should contact the Human Resources Office at 704-894-2213 to schedule an appointment. The college is committed to protecting the privacy and confidentiality of employment records.
The response of the Human Resources Office to an outside request for employment verification is restricted to the release of the employee's name, employment dates and job title except in instances when further information is required to be divulged by law or by the audit provisions of an applicable contract or grant. Additional information, including salary information, can be released only with the employee's written authorization.
