The Student Employment Office is housed within the Human Resources Department. The office serves as a liaison between students who want to work and departments that need help.
In a given academic year, Davidson employs approximately 800 students in more than 60 departments. Students work approximately 100,000 hours supporting faculty and staff.
Students are strongly encouraged to consider employment during their time at Davidson. Working on campus enriches your education outside of the classroom and helps build relationships with both faculty and staff. Student employment not only serves as a source of income, but also develops a work ethic, time-management skills, critical thinking, teamwork, and basic professional readiness. In many instances, student employment on campus can help clarify individual career goals.
Employment Eligibility
All students are eligible for on-campus jobs regardless of their financial status. Students receiving Federal Work Study (FWS) awards are given priority over non-FWS students. All students are required to complete specific paperwork prior to starting any job on campus.
Federal Work Study
Federal Work Study (FWS) is a federally subsidized work program that encourages the part-time employment of undergraduates who need the income to help pay for the cost of their education. At Davidson College, students who qualify for FWS through the financial aid process are given priority over non-work study students in securing employment on campus. The priority window begins in mid-July and runs through late August. FWS students apply for jobs through our jobs website called Oracle. Over 80 departments employee students throughout the academic year, including our Center for Civic Engagement which supports service learning by working off-campus with Davidson's community partners in need.
International Students
As an international student, there are some restrictions on your ability to work in the United States. Employment is permitted based on your visa classification or by receiving special permission from the Department of Homeland Security. International students with an F-1 Visa are permitted to work 20 hours/week while classes are in session and 40 hours/week when classes are not in session. Student Employment Frequently Asked Questions
What is work study?
Work-Study is a government-subsidized employment program designed to assist students in financing the cost of their education. To be eligible for work study a student must demonstrate financial need by completing the Free Application for Federal Student Aid (FAFSA) and the CSS Profile. At Davidson, financial need is reviewed every year. Students who qualify for work-study will be notified of their award by the Financial Aid Office as part of their comprehensive aid package. Students with a work study award are given priority over non-work study students in securing employment on campus.
The title says "work study." Am I allowed to study during work?
Work study should not be confused as a study hall. Student employees play a key role in the operational support of the college. Before each shift, check in with your supervisor to determine what work needs to be done on behalf of the department. In some instances, if a supervisor does not have an assignment, then you can ask whether it is permissible to study.
If I am not a work-study recipient through financial aid, am I still allowed to work on campus?
Yes, non-work study students work on campus. Open jobs are posted on Handshake in mid-July for the following academic year. Students with work study are given a priority hiring window through the first week of school. After that point, non-work study students can be considered for the remaining open positions.
Is there any paperwork required to start working on campus?
Yes, to begin working legally, you must complete the Federal Form I-9 on or before your first day of work. Students must go to the Human Resources Office and present original documents from the list of acceptable documents to prove their identity and authorization to work in the United States. All employees are paid electronically so direct deposit will also need to be established.
How many hours/week am I allowed to work as a student employee?
Most students work between 5-10 hours/week. For work study recipients, the hours/week is calculated by dividing the amount of their award by 28 weeks (14 weeks/semester) and the pay rate of job. The college discourages students working more than 20 hours/week. International students are prohibited under from working more than 20 hours/week under their student visa.
International students with an F-1 Visa are permitted to work 20 hours/week while classes are in session and 40 hours/week when classes are not in session.
How do I enter my hours?
Oracle Web Clock (found within Oracle ) is the platform used to report your hours. Time can be submitted through Web Clock in Oracle via Kiosks (specific work locations), or by computer. The system is a time stamp so student clock in and clock out for their shifts. Learn more about entering your hours.
What if I forget to enter my hours?
If you forget to clock in or out, you can enter the missed time in Oracle Web Clock by selecting Actions, then Request Change. You can also notify your time approver and they can correct error.
If I forgot to enter my hours for a shift, can I add the missed hours to my next shift?
No, you must record the hours under the correct date, time, and pay period that they were actually worked/earned. It is considered falsifying a time sheet to do otherwise, which is against the law and the Honor Code.
What is the student pay scale?

Who sets the pay rates?
Human Resources determines the pay level based on the job description provided by the hiring manager. Jobs that have similar skill requirements will have the same pay level.
Will I be taxed as a student employee?
Student earnings are considered taxable income for federal and state income tax purposes. During the academic year, students are exempt from FICA (Social Security and Medicare) taxes. During the summer, students are considered regular employees and thus subject to FICA taxes. International Students should fill out the NC-4 NRA form (Nonresident Alien Employee’s Withholding Allowance Certificate).
Are student’s eligible for worker’s compensation?
Yes, students employed at Davidson are covered by the college’s worker compensation policy. If you are injured in course and scope of your job, you should contact your supervisor immediately.
